Connect to Shipment
Explanation
This activity is used to connect source lines to shipments.
Source lines are connected to the shipments by
right-clicking and clicking Connect to Shipment in
the
Shipment/Available
Source Lines tab
or in the Source Lines Available for Shipments
window. In the
Shipment/Available
Source Lines tab,
you can
view the available source lines
that have the same
receiver, delivery address,
ship-via, delivery terms and shipment type as the current shipment
header. Then you
can connect the available source lines to that specific shipment. In the
Source Lines Available for Shipments
window, you can view all available source lines regardless of
receiver, delivery
address, ship-via, delivery terms etc, and then you can connect these available
source lines to shipments. In the first place each line is connected to an
existing appropriate shipment (e.g., where the shipment status, receiver, ship-via,
delivery address is correct), otherwise a new shipment is created and the line
is connected to that shipment. The quantity of a
source line can be connected to several shipments in parallel.This can be used
to handle a limited transport capacity, a backorder situation where you want to
prepare the next delivery in advance, a customer requiring a certain delivery
schedule etc.
Optionally you can define consolidation rules in the
shipment type to be used when source lines are connected automatically to shipments.
The following consolidation parameters are available:
source ref 1,
planned ship date, planned delivery date, route, forwarder, reference ID, dock code, sub dock code and
to location. So for instance by adding planned ship date and route as
consolidation parameters, only source lines with the same planned ship date and route
will be consolidated automatically into the same shipment. The consolidation rules are not
considered when you manually connect a source line to a
specific shipment in the Shipment/Available
source Lines tab. Once this is done, above parameters in the source
lines are overridden by the shipment header values.
For customer orders, the lines are available for shipment connection when they are in the
in the Released,
Reserved,
Picked or
Partially Delivered status and have a remaining quantity that is still to
be delivered.
Once you have connected the required
source lines to shipments,
they will be
available as a shipment line on the shipments. From this point you can perform all the necessary shipment activities.
Prerequisites
To connect to an existing shipment:
- The shipment must be in the Preliminary status to connect the lines. Note: If required, you can reverse a shipment from the Complete status
to the Preliminary status, but not from the Closed status to the
Preliminary
status.
- The shipment type, receiver, ship-via
and delivery terms of the source line must be that same as the shipment.
- The delivery address of the source line must be the
same as the shipment. It is not enough to have the same delivery address ID;
all address information must be the same.
To connect to a new shipment:
- Any of the three prerequisites above is not
fulfilled.
- The line is connected by using the
Source
Lines Available for Shipments window.
For Customer Order Lines:
- The supply code for customer order lines must not
be Purch Order Dir, Int Purch Dir, Not Decided or Service Order.
- The order line must be in the Released,
Reserved, Picked or
Partially Delivered status. Picked Customer Order Lines must be in a
shipment location.
- There must be a remaining quantity that is still to be
delivered for the customer order line i.e. what is already delivered and
what is already connected for delivery on shipments must be less than the ordered quantity.
- There must not be any quantity not connected to
any shipment on a pick list not pick reported yet.
- The order line must not be included on any
customer load list.
- The order must not be about to be delivered with a pre-ship
delivery note.
- There must not be any partially delivered order
lines with a connected freight charge not invoiced.
System Effects
- A shipment line is created or updated, depending on the existance of a source line
previously connected to the shipment.
- For source lines previously connected to the current
shipment, the remaining quantity to be delivered will be added to the
existing shipment line.
- For source lines previously not connected to the
current shipment, the source line is connected to the shipment as a new
shipment line including all remaining quantity to be delivered.
- If the quantity you connect to the shipment is
already reserved, the reservation is transferred from the source
line to the shipment line.
- On the source line, the remaining quantity
that can be delivered via shipment is updated accordingly.
- When using the Source Lines Available for
Shipments window, the source line is connected to a new shipment if
there is no existing connectable
shipment.
- When manually connecting multiple source lines to an empty
shipment, the consolidation parameters, i.e. planned
ship date, planned delivery date, route, forwarder, reference ID, dock code, sub dock code and to
location, will get a value in the shipment if all source lines you connect
have a common value, unless a value is entered previously in the shipment.
So if you for instance manually connect lines with the same route, this
route will be saved in the header of the shipment, if the route does not have a
value previously. However, once a value is set, it
will not be affected by new source lines connected.

Procedure
To connect to a specific shipment:
- Open the Shipment window and search
for a shipment.
- Click the
Available
Source Lines tab
to view all the available source lines with remaining
quantity not yet connected to any
shipment.
- Mark the source lines you want to connect to the
shipment. Right-click on the marked source lines and then click
Connect to
Shipment. The source lines will then be removed from the
Available
Source Lines tab and displayed on the
Shipment Lines
tab.
To connect multiple source lines to shipments:
- Open the
Source Lines Available for Shipments
window and search for source lines.
- Mark the source lines you want to connect to
shipments. Right-click on the marked source lines and then click
Connect to
Shipment. The source lines will then appear as shipment lines on each
shipment. The created shipment lines can be viewed by clicking
OK to the
message that appears.
Note: Alternatively, for customer orders you can also automatically
connect order lines to an existing or new shipment when an order is released
or when the pick list is created. However,
this is only possible if the order line has the Shipment Creation option
set to At Order Release or At Pick List Creation which is defaulted from the
shipment type of the order line. Any
consolidation rules defined in the shipment type is considered when order lines
are connected automatically to shipments. When automatically connecting to an
existing shipment, automatic connection of more order lines cannot be blocked for
this shipment.
