Create Training Participant Confirmation Mailing Event

Explanation

This activity is used to set up an email that will be sent when a person who applied for a training event is confirmed as a participant. That way, when someone goes to the Training Event window, Participant tab, and then right-clicks a registered participant and clicks Confirm, an email will be sent.

Note: This activity has to be performed by an application owner. If you do not have application owner privileges, contact your system administrator.

There are no prerequisites.

As a result of this activity, a mailing event will be configured to send emails to relevant persons when participant of a training event is confirmed.

Procedure

  1. Open the Events window and search or populate it.
  2. Right-click the CONFIRMATION_TRAINING_EVENT row and click Create New Actions. The Event Action window will open.
  3. In the new window, ensure that action type is set to E-Mail.
  4. In the Action Description field, enter a general description of the action, in this case a mail that will be sent to an employee who was confirmed as a participant of a training event.
  5. In the To field, drag the &PARTICIPANT_EMAIL from the Event tab. This will cause the mail to be addressed to the employee who will participate in the training.
  6. In the Subject field, enter the title of the mail.
    Note: Optionally, it is a good idea to drag TRAINING_EVENT_ID or TRAINING_EVENT_NAME item into the title of the mail so that the employee knows which training he or she will participate in.
  7. In the Attach Files field, enter &CALENDAR_EVENT item. This will include an attachment in an email that, once opened by the recipient, will update their calendar with the date and time of  the training.
  8. In the Message field, compose the body of your mail. Use the available substitution fields (located on the Event and General tabs) to insert parts of the mail which will change dynamically based on the recipient of the mail. It is also a good idea to explain what should be done with the attachment.
  9. Save the event.
  10. Right-click the header and click Enable this action.
