Define and Spread Code Part Information on Serials

Explanation

This activity is used to define code part information on the selected serial. Code part information is made up of cost centers and objects. The cost center is associated with the serial's maintenance cost, and the objects are the references to financial objects in fixed assets. 

The purpose of entering code part information on a serial is to be able to retrieve accurate code part information when creating work orders for the pending tasks of the serial, and use it for pre-posting purposes. Therefore, when a work order is created during task distribution from Fleet and Asset Management, the work order will inherit the cost center and the object values specified for the serial. 

You can view code part information defined for all the companies. However, you can only create, update, and remove the code part information for the companies to which you have access. 

It is not required to define code part information for all the serials in a structure. However, it is recommended that you register code part information for all the companies with workshops, which are used to distribute tasks for the serials. Code part information can vary for each company and the work order will only be pre-posted with code strings from the correct company. 

Code part information can be distributed (spread) to the serials of a structure. This will be useful when the code part information is similar for a number of components in the structure. 

If code part information exists on other serials of the structure, you can choose to overwrite the current values or disregard these serials when distributing the information. However, to be able to overwrite the code part information of the child serials, they need to belong to the same company as the parent serial from which you are distributing the information.

Observe the following examples to see how you can overwrite code part information for the child serials in the structure.

  1. You want to distribute code part A defined on company 10 from a top serial, and one or more child serials in the structure has code part B defined on company 11. Then if you select to overwrite during the distribution, the child serials will have Code part A for company 10 and code part B for company 11. 
  1. You want to distribute code part Z defined on company 10 from a top serial, and a child serial in the structure has code part Y defined for the same company. Then if you select to overwrite during the distribution, this information will be removed and the child serial will now have the code part Z for company 10. 
    Note:
    A serial can have one code part information defined for it per company.

Procedure

Use this procedure to define code part information on a serial.

  1. Open the Serial Structure Information or Serial Code Part Information window.
  2. Query (F3) for the serial on which the code part information is to be defined.
  3. If you have selected the Serial Structure Information window, click the Additional Serial Info tab and then click the Code Part Info sub tab.
  4. Create a new record (F5). Note: The logged on user's default company will always be displayed.
  5. In the Company field, use the List of Values to select a company of which you are a member.
  6. Enter a value in the Cost Ctr field. Use the List of Values to select a predefined value. 
  7. Optionally, you can enter a value in the Object field. This value will be the financial object number for the selected serial. 

Note: The field names Cost Ctr and Object can change depending on the internal name of the logged on user's default company. The internal name is defined in Define Code String. 

  1. Set the code part rule by selecting a value in the Code Part Selection Rule field. 
  2. Save the record (F12).

Use this procedure to distribute the defined code part information on the serials of a structure.

  1. Select the relevant row, right-click and then click Spread Code Part Info.
  2. A message appears inquiring whether you want to overwrite existing code part information. Click Yes if you want to overwrite the code part information for the child serials belonging to the same company.
