Create Appointment Notification Letter
Explanation
The system generates an appointment notification
letter inviting the applicant to join the company. Since different recruitment sources
(internal and external) may have different letter templates, the system automatically
identifies whether the letter is for an external or an internal applicant based on the
recruitment source. The document is provided in a Microsoft Word document template,
which can be reached by using Generate Job Candidate Appointment Document.
Prerequisites
Before you can use this function, the following must have been completed:
- The Personnel Requisition No and Candidate ID must have been
registered.
- The status of the Personnel Requisition must be Approved or Fulfilled.
- The Candidate Status must be Appointed.
- The Job Candidate Status must be Appointed.
- The document template must have been inserted in the Properties
function (Word Document tab). Use the right mouse button menu to
reach the Properties function.
System Effects
As a result of this function, the system will generate a Job
Candidate Appointment letter for the specified candidate using the document template
inserted in the Properties function. You can generate more than one Job Candidate
Appointment letter at a time by highlighting multiple items.

Procedure
- Select the items that need to be generated by highlighting them.
- Activate the pop-up menu using the right mouse button and click
Generate Job Candidate Appointment Document.
- The system opens a Microsoft Word document based on the template
inserted in the Properties function. You can modify the document by using Microsoft Word
tools.
To insert the document template:
- Choose Properties from the right mouse button menu.
- A dialog box with some window tabs is displayed. In the
Word
Document tab, insert the document needed as a template, which you can find using
the Browse button. You may use your own document template as a default, providing you have
already inserted it in this window tab.
- Select OK.
