Distribute Maintenance Events

Explanation

This activity is used to distribute pending events. Pending events can be packaged together to be distributed to a maintenance order. A package of pending events can only include events for serials within the structure of the selected top serial. The distribution type, workshop code, planned start/finish dates and the earliest start and latest finish dates must be entered before events can be distributed. Valid distribution types are Work Order, Simplified Work Order and Execution Logic Structure. The distributed events will be executed at the specified workshop.

If the distribution type is set to Simplified Work Order, the event is handled in Fleet and Asset Management although transactions for the event are created automatically in IFS/Work Order Management. These transaction records can be used when you want to track financial transactions and record the consumption of material during a process. If code part information is defined, this information will be retrieved during the process.

If the distribution type is set to Work Order, the event is handled directly in IFS/Work Order Management. A work order is created on the site to which the specified workshop belongs. A work task is created for each task card and subtask on the event and connected resources, material, and sign off requirements are transferred to the work task. If parts included in the material list have a different unit of measure (UoM) at the site on which the work order is created, the system will automatically convert the current material quantity (displayed in Fleet and Asset Management) into the quantity of the UoM on the site. The converted material quantity can be viewed in the Materials tab on the work order. If code part information is defined on the serial, this information is transferred to the work task. All financial transactions are retained on the work order.

The Execution Logic Structure distribution type is used when the work included on the maintenance order is to be grouped according to predefined grouping criteria.

When distributing events, it is possible to create the maintenance order in the Initial Scope Definition status and the corresponding events in the Planned In Scope status. To do this, select the Plan Maintenance Order check box. The purpose behind this feature is to facilitate the planning of a maintenance order. If this check box is not selected, the maintenance order and all connected events will be created in the Released status, and corresponding work orders and work tasks will be created automatically.

If pre-posting is required on the work order, code part information must have been defined on the serial. Code part information which consists of the cost center and object will be retrieved from the serial for which the event is distributed, for the applicable company. This information can be viewed in the Pre Posting dialog box. For more information, refer the online help file Code Part Information.

If a modification event leading to a part identity change is to be distributed and this modification has the Terminating Action execution type, the assigned and/or affected serial will be renamed automatically once the modification is embodied and will include the new part number and revision. In order to successfully perform the rename of a serial, the new part number and the revision for the serial must have been entered on the modification (i.e., in the Change to Part Number and Change to Part Revision fields). Furthermore, when the modification event (with the Terminating Action execution type) is distributed, the system will perform a check to validate the following information:

the new part number is a valid alternate of the old part number (only valid if the serial that is to be renamed is installed in a structure)
the maintenance program and maintenance group for the old part number is valid for the new part number
the manufacturer of the old part number is valid for the new part number (i.e., when a new manufacturer and manufacturer part number have not been entered)

A warning message is generated when the new part number is not a valid alternate to the old part number of the serial (when the serial is installed in a structure), and when the maintenance program and manufacturer is not valid for the new part number. You are recommended to read through these messages before continuing with the event distribution. Note: These validations are also performed when a new part number is entered for the assigned/affected part and when the modification is activated.

Prerequisites

Pending events must exist.
Workshop codes must exist.
A distribution type, workshop code, planned start/finish, earliest start, and latest finish dates must be entered on the event.
Work types need to be connected to event types. This will be used when work types are to be entered for each work order that is to be created.
All events on an order need to have the same top-level serial and distribution type, and needs to be distributed to the same workshop.
If predefined task cards exists for the event code, the resources and material on the task card must be valid at the maintenance order site. For resources, the site connection is set in the Resource Detail/Connections/Site tab.
If automatic pre-posting is required, code part information must have been defined on the serial or a parent serial in the structure. This is used to retrieve code part information on a work order distributed from Fleet and Asset Management.
To automatically suggest a value in the Workshop Code field, a default workshop must have been assigned to the user.
If a modification event is supposed to result in a part identity change, the new part number and revision for the serial assigned to and/or affected by the modification must have been entered. System Effects

The maintenance event is distributed to the workshop responsible for the execution of the work order.
The event is transformed from a pending event to a planned event or a running event.
If the distribution type is set to Work Order and the Plan Maintenance Order check box is not selected, a work order is created for each distributed event. A work task is created for each task card and subtask on the event, and connected resources, material, and sign off requirements are transferred to the work task.
If the CREATE_WO_STRUCTURE parameter is set to TRUE in System Definitions/Object Property or in Configuration Basic Data/Object Property, the Create WO Structure check box will be selected automatically when distributing events.
If the Create WO Structure check box is selected, a work order equivalent to the maintenance order will be created in IFS/Work Order Management during event distribution. All work orders (related to the events) will be automatically connected to this top work order, i.e., a work order structure will be created in IFS/Work Order Management.
It will be possible to create the maintenance order in the Initial Scope Definition status so as to carry out detailed planning on the maintenance order.
If a pending modification event leading to a part identity change exists, and this modification has the Terminating Action execution type, the new part number, revision and the manufacturer data on the serial will be validated when the event is distributed.
A warning message is generated when the new part number is not a valid alternate.
A warning message is generated when the maintenance program for the old part number is not valid for the new part number.
An error message is generated when the manufacturer and manufacturer part number is not valid for the new part number.
Documents connected to a maintenance event will be copied to the maintenance order.
The transferred material quantity is correct in accordance with the UoM for the serial on the site.

Procedure

Use the following procedure to distribute an event from the Maintenance Event Distribution window. You can view the top serials of a structure and the pending events for all the serials connected to the structure in this window:

Open the Maintenance Event Distribution window.
Query (F3) for the top serial for which you want to distribute events.
The distribution type Work Order is displayed automatically in the Distribution Type field. Change to a different distribution type if needed.
If a default workshop is assigned to the current user, the workshop ID is displayed automatically in the Workshop Code field. If not, use the List of Values to enter a valid workshop. This will be the workshop responsible for the execution of the work order.
If necessary, you can change the default values in the Planned Start, Planned Finish, Earliest Start and Latest Finish fields.
Select the Auto Include Mx Events check box if the event should be included automatically on the maintenance order. The event is included automatically if an event for the same serial has been selected manually.
Select or clear the Create WO Structure check box, depending on whether you want to create a top work order equivalent to the maintenance order. Note: This check box is only applicable for events of distribution type Work Order.
Select the Plan Maintenance Order check box if you want to create the maintenance order in the Initial Scope Definition status and all connected events in the Planned In Scope status.
Select the Auto Finish Order check box if you want to automatically finish the maintenance order. If this check box is selected the status of the maintenance order will be set to Finished when the last event connected to the order is set to either the Finished or Cancelled status.
Click the Pending Events tab.
Select the Include Mx Event check box, for the event(s) you want to include in the work order.
On the selected event(s), you can enter a value in the Work Type ID field. Use the List of Values to select a value.
The Warranty Covered check box is selected if the pending event is of the Serial Repair type and the fault indicates that the warranty is covered.
Save the record (F12).

Use the following procedure to distribute an event from the Maintenance Event Distribution for Components window. You can view the pending events for uninstalled serials for the selected part number in this field.

Open the Maintenance Event Distribution for Components window.
Query (F3) for the part number of the disconnected serial for which you want to distribute events.
