Create Matrix Position Structure
Explanation
This activity is used to create a matrix position structure.
Each matrix position structure can be connected to multiple companies. Highest
ranking positions should be placed at the top, with subordinate positions added
to their respective superiors. That will create a chain of
authority that has an impact on many parts of the IFS Applications, such as
employee assignments or data access.
Each position can have multiple subordinate positions, but only one superior.
Prerequisites
In order to perform this activity, a matrix structure has to be registered in the system.
System Effects
As a result of this activity, a matrix position structure will be
defined for a company.
Position IDs will become available for assignment.

Procedure
- Open the Graphical Position Structure window.
- In the header, select the ID of a matrix structure for which you want to define
a position structure.
- On the Position Structure tab, select an element of the
graphical position structure to which you want to add a subordinate
position. If you want to create a top position with no superiors above it,
select the structure name at the top of the graphical object structure.
- Add a new record.
- In the Position ID field, enter the unique identifier (ID) of a
position.
- In the Position Title field, enter the title of the position.
- Enter the validity period for the position in the Valid From
and Valid To fields.
- If you select the Default Access Extension check box, you will
extend default access rights of the position. By default, position access
works only within the organization unit where the position holder is
assigned. Selecting this check box allows this access to spread to all
subordinate organization units.
- In the Company Information area, all values are company
specific. If a matrix structure is connected to more then one company,
switch between companies by selecting an appropriate company ID in the
Company ID field.
- In the Default Job ID, you have an option to assign a job that
will be automatically suggested when the position is selected for an
employee in the New Employee assistant.
- In the Transfer Group field, you can assign the position to a
transfer group. Transfer groups can be used during a payroll data export,
allowing every group to be exported separately.
- If you select the Protected check box, certain information about
position holders will become inaccessible to anyone without special access
rights.
- If you select the Exclude from Export check box, the position
will not be included in a position structure export.
- If you select the Export Assigned check box, the employees
assigned to the position will be included in a structure export.
- Save the information.
- Right-click the graphical object structure and click Generate in
order to create a new access result.
Note: You can assign multiple subordinate positions to a single
parent. To do so, add a new record while the parent position is selected. In
order to quickly rearrange the position order, move the elements around by dragging and
dropping them in the graphical object structure.
