Add Contract Customer

Explanation

Use this activity to add a customer or prospect to the contract. When the contract header has been created, one or more customers can be added to the contract. Note that a prospect can be entered instead of a customer as long as the contract has not been awarded.

In the contracting world, it is quite common to have several different companies bidding for the same contract. This means that a subcontractor can potentially submit tenders for the same contract to several contractors. It must be possible to keep track of all the contracts (customers) during the enquiry, bidding, and tendering phases. Once a subcontractor has been awarded the contract, there can be only one customer.

Even if a customer has been blocked for credit they can still be used in sales contracts. Although it will not be possible to award any contract to a credit blocked customer unless the credit block setting is specifically overridden on the contract.

When entering or modifying a customer on a contract in the Sales Contract window, the customer information will be entered on the Sales Contract/Customer tab if it does not exist there already. If the customer or prospect has contract specific correspondence and/or invoice addresses this can be added to the customer record on the sales contract.

Procedure

To enter the first customer in the Sales Contract window, follow these steps

  1. In the contract header, enter a value in the Customer ID field. The List of Values will list all the customers and prospects entered in IFS/Enterprise.
  2. Complete any other necessary details on the contract header and save.
    Note: If more than one customer is valid on the contract they can be entered on the Sales Contract/Customer tab.

To enter customers on the Sales Contract/Customer tab, follow these steps:

  1. Insert a new line in the upper table of the Sales Contract/Customer tab.
  2. Enter a value into the Customer ID field. The List of Values will display all the customers and prospects entered in IFS/Enterprise.
  3. If necessary, enter the information in the Invitation To Tender Receive Date, Invitation To Tender Response Date and Notes fields.
  4. If it is necessary to change the values in the customer Invoice Address or Document Address fields, select the required addresses from List of Values.
  5. If this new customer should be made the default customer, select the Default check box.
  6. Save the information.
  7. If a customer has been blocked for credit, it can be overridden specifically for the contract using the Override credit block right mouse button option.

To Enter Prospects:

  1. In the List of Values for the customer fields, select a record with customer category Prospect.
