Enter Audit Authority Data

Explanation

Use this activity to define or edit audit authorities. Audit authorities are the type of bodies that will carry out audits. This includes internal parties, customers and third party accreditation bodies. An audit authority record describes what type of audit (audit type ID) will be carried out by whom (audit authority type ID).

Prerequisites

At least one audit type and one audit authority type must have been defined.

System Effects

As a result of this activity, new audit authorities are defined or existing ones are modified.

Procedure

  1. On the Audit Basic Data window, click the Audit Authority tab.
  2. Create a new record.
  3. In the Authority ID column, enter an authority ID if you wish. If you do not do so, the system assigns one automatically. If the audit authority is a customer then they can be selected from the List of Values of customers already registered in the database. If the customer is not registered yet, they can first be registered as a customer or can be just entered manually.
  4. In the Description column, enter a description of the audit authority.
  5. In the Authority Type ID column, click List of Values to select from the available audit authority types.
  6. In the Default Audit Type column, click List of Values to select from the available audit types.
  7. To identify that the audit authority is an external body, select the External check box. If the authority ID has been identified as an existing customer, then this check box will be selected automatically.
  8. In the Notes column, enter a note regarding the audit authority. Entering a value in this field is optional.
  9. Save when complete.

Note: You can translate the description into different languages using the basic data translation functionality. Select a record, right-click and then click Translation. In the Basic Data Translation window, enter descriptions per language.
